Adding a new member to your club
Adding a new player
The process to add a new player to a Play-cricket site has changed slightly to give a club better communication options.
From the Members Database you can add details of your members who have given you their permission to make them members of your club.
If you add a player as new, a fresh record is created in the Play-Cricket database, which has no stats and no additional roles. As that member is placed onto scorecards the statistics will accumulate and the player can be given additional roles such as league registered player.
Such a player cannot be given any administrator role, as he/she does not have a user id and password to sign in and access the admin area.
Click “Add New Member With This Role”
On this screen you can select a record already on the database but if the player is new to play cricket click “Add Member”.
On the following screen if the system determines that a person is under 16 (from the date of birth), and an email address is entered for that person, you will be asked to complete a parent’s contact details so that any emails sent to the child are copied to the adult.
You can also enter just the parental email address, but if you specify a child’s email address without that of the parent, an error will be shown.
Correct the screen by completing the missing information.
You can also administer the person’s contact preferences in their profile according to the person’s wishes and in particular, set their communications options.
Unless the ECB information is set to ‘No’ the user will receive player communications from the ECB. In the unlikely event the player will object to this, the radio buttons can be set to disable it. The player will also be given unsubscribe options if contacted by the ECB.
Daniel Dodger, the parent, will get a validation email with the following text:
Roger Dodger, the child, will get a validation email with this text:
When both email addresses have been validated correctly, the player’s un-registered record will be converted to a registered record on the club site.
Players moving clubs
Previously, when a player moved clubs the new club administrator entered all the data for the new player set up a new record and the player was duplicated. Now, club administrators have the ability to add the existing Play-Cricket records to their database when a player moves clubs or becomes a member of a second club.
This has benefits to the club in not having to re-enter data, and to the player as their statistics then cover playing records for both clubs. It also makes the league registration and transfer process easier.
Administrators should ensure they have the player’s permission to do this, checking that the player has a valid email address, correct date of birth if it is present, and has not previously opted out of communications from the ECB. The Play-Cricket system will contact the player informing them of the action.
An example of this follows below:
Demon Stration is a player at Hunningham Cricket Club and registered to play in the Warwickshire Cricket League and he wants to join Heart of England CC, also in Warwickshire, and part of the same league.
The Heart of England administrator, having obtained a club membership request from Demon Stration, has permission from the player to add his details to the Heart of England database.
Starting from the Heart of England’s administration, home page, select Members, then Members Database and click “Add New Member With This Role”.
A new screen appears allowing a search for the player. The ‘Type’ defaults to ‘Club’.
In the search box enter the player’s surname and in the Keyword enter the first few letters of the previous club for that player.
Press Search and a selection of clubs matching the search criteria will appear. Note that a search for ‘Hun’ would also find Hunningham (and several other clubs).
In this case, Play-Cricket has found a possible matching record on the Hunningham site. Click on the Stats icon to check the player’s playing history. If you are happy that it is the same player, click the Select button…
…and the player is now added to the Heart of England database.
The Heart of England administrator can apply for the person to have league registered player status by clicking the Edit Roles button and selecting the League Registered Players tab.
On this screen the administrator can see that the player is already registered with Hunningham CC.
Press Apply and the following will come up.
There is now no need to search for a match here, so select Next.
And the transfer is already set up. Select Next,
complete any additional information, then Save and you are done.
It is now up to Hunningham CC to agree the transfer and then the league to process it.
The Hunningham administrator will see the following screen.
If the player has a valid email address, the player is notified of the registration and can contact you if there are issues.
